RAI Amsterdam, the largest exhibition and conference organisation in the Netherlands, opts for M-Files as a central platform for managing its documents. RAI Amsterdam will start contract management in M-Files. With M-Files, RAI Amsterdam ensures that all documents are provided with context for more grip, efficiency and good findability. For guidance and implementation, the congress organiser has opted for GeONE, specialist in optimising document and information management.
With M-Files, RAI Amsterdam opts for a future-proof platform where documents are managed using metadata. These metadata provide extensive possibilities for managing, finding and securing every conceivable type of document and file format. Thanks to advanced version and permission management, RAI Amsterdam not only gets a firm grip on its documents, but also on the related processes and tasks.

Breaking location-based approach
Lloyd Tan, application administrator at RAI Amsterdam, explains how the choice for M-Files came about: "For our client, we do everything possible to make an event a success. To facilitate this, we were looking for a document management platform that supports us in this. This we found in M-Files. M-Files is completely based on metadata. With it, we move away from a location-based approach with folders and disks and focus entirely on creating context around content. Using metadata, we assign properties to documents; for example, we link documents to a file, expiry date, location or an owner. This in turn gives us extra possibilities in creating overviews, managing permissions and automating document processes. Moreover, M-Files includes extensive version management that gives us full control over the document lifecycle. On top of that, M-Files is also hugely user-friendly, on both our laptops and mobile devices."
Choosing GeONE as an implementation partner
Besides choosing a platform, RAI Amsterdam was looking for a strong implementation partner and quickly ended up with GeONE: "After we made a shortlist of possible partners, GeONE quickly emerged as the winner. We expect a lot from the unique GeONE project methodology, called Build & Play. Through the Build & Play methodology, we involve our employees, remain continuously in control and M-Files will soon be seamlessly linked to our processes. The fact that GeONE is also M-Files Partner of the Year gives us confidence in their approach," Tan said.
